New Design in the Check-In Screen

At Timón Hotel, we constantly work on optimizing our hotel PMS, making improvements and updates that help hotels maximize the profitability of our software.

One of the results of this ongoing pursuit of improvement is a new design in the PMS check-in screen, available from version 24.7 of Timón Hotel, which will feature improvements in room assignment and minimize, as much as possible, the use of paper during this process.

The reservation list now appears within a grid to facilitate reading, and two new buttons have been added at the top of the window that have been removed from the reservation list lines. The new buttons are Up/Cross Selling and Comments. Additionally, the “Room” column is highlighted in bold for better visibility.

An icon has also been added on the right side of the filters to refresh the current list.

When hovering the mouse pointer over each abbreviated column, a tooltip displays the column description:

CIn: Check In

CR: Credit

TK: Tokenized Card

TH: Room Type

E: Cleaning Status

A: Malfunction

TT: Tourist Tax Invoice

PQ: Package

PV: Guest Registration

PC: Pre-check-in

C: Comments

At the bottom of the list, the legend of reservation statuses and a summary of the current check-in continue to be displayed:

On the right side of the window, a summary of available rooms for the day we are performing the check-in is displayed. If the property allows assigning blocked or closed rooms, a breakdown of these is also shown.

The most important improvement is that now when opening the room finder, we do not open a window that overlaps the check-in window, hiding the reservation list, but instead a list of available rooms unfolds on the right side of the check-in screen, replacing the previous summary of available rooms.

This way, we can always keep both the available rooms and the reservation list visible.

Check-In window with the summary:

The list of available rooms can be expanded by clicking on any part of the summary or by pressing CTRL + F. To close it, we can press CTRL + F again or click the Close button that appears at the bottom left of the list. The check-in window will have two different behaviors depending on whether we have the summary or the room list on screen.

If we have the summary and perform the room assignment directly (by entering the number), then the summary information will not be updated until we save the changes.

If we have the room list, then each room assignment we make will save the changes and update the list. This way we ensure that we are assigning truly available rooms. This option is slightly slower than the previous one because all checks on the room type and status are performed.

To assign a room from the list, you can double-click on the room or click the Assign button at the bottom of the list. When selecting a reservation, by default the rooms of the reservation’s room type will be filtered. If we wish to assign a room of another type, it will be sufficient to clear the filter at the top of the room list.

In the filter, we can search for rooms by the “Room” field (starting with the indicated value), the “Description” field (containing the indicated value), and “Room Type” (exact match).
