How to implement a Business Intelligence model in a hotel step by step

Turn your hotel data into more profitable, strategic decisions

Why talk about Business Intelligence in hotels?

In an increasingly demanding hotel market, making decisions based on reliable, well-structured data is the difference between reacting and anticipating. Business Intelligence (BI) makes it possible to turn large volumes of operational data into strategic information: from forecasting demand or monitoring profitability by segment, to adjusting staffing based on expected occupancy or personalising the guest experience.

In this practical guide, we explain step by step how to implement a BI model in your hotel, with real examples and recommendations based on our experience with TimónBI, the native Business Intelligence module of the Timón Hotel PMS.

Step 1. Set your business objectives

Do not start with the technology. Start with what is causing you pain.

The first step is to identify which key decisions you want to improve with the help of data. For example:

  • Do you want to know which customer segments are most profitable?
  • Are you interested in forecasting occupancy more accurately and adjusting staffing?
  • Do you need to identify why certain campaigns are not converting?

Timón tip: identify 3–4 routine decisions you currently make “by eye”, and consider what data would help you make them more clearly.

Step 2. Consolidate your data

The data is already in your hotel: in the PMS, the Channel Manager, satisfaction surveys, accounting, or marketing reports. The challenge is to have a unified and reliable view of the business.

With solutions such as TimónBI, you do not need to set up complex integrations: BI works on the PMS’s native data and can connect to other sources according to your needs.

“In our masterclass ‘Smart Data for the New Hotel Era’ we talk about exactly this: without well-structured data, artificial intelligence is useless.”
Antoni Maria Rosselló, Head of TimónBI

Step 3. Define your key indicators (KPIs)

Not all KPIs are relevant for all hotels. However, there is a set of strategic indicators you should always keep in mind:

  • Occupancy, ADR and RevPAR
  • TrevPAR (total revenue per available room)
  • Satisfaction index by channel or segment
  • Cost per guest
  • Quote conversion (for events or groups)
  • Breakdown by nationalities, channels and length of stay

Step 4. Design useful dashboards (not just attractive ones)

A good BI model needs clear visualisation, tailored to each user’s role:

  • Daily dashboard for general management.
  • Operational view for reception and housekeeping manager.
  • Financial dashboard by cost centre.
  • Aggregated view for chains or multi-property operations.

At TimónBI, we do not work with pre-set reports. Each hotel has its own priorities, structure and way of operating, which is why dashboards are designed ad hoc, based on the client’s real needs, with support from our expert team. There are no generic templates—there are solutions that adapt to the reality of each property.

In addition, all dashboards are accessible from any device, with data updated automatically and without affecting system performance.

Step 5. Automate and review regularly

Implementing BI is not a closed project: it is an ongoing process. Once the model is created, establish clear routines:

  • Update the data automatically (daily, weekly, etc.).
  • Review key KPIs in management meetings.
  • Adjust dashboards according to seasonality, new services or strategy changes.
  • Evaluate trends and prepare for AI-driven forecasting (if the data is good, the forecast will be too).

Conclusion: data that adds value, decisions that transform

BI is not only for large chains. Any hotel can start working with structured data and make smarter decisions. You only need three things:

  1. Clarity on what you need to measure.
  2. Access to data on a reliable platform.
  3. Support from an expert team that speaks your language.
